Grain and Feed Trade Association (Gafta) is an international trade association that represents organizations trading in agricultural commodities, particularly grain, feed, rice, pulses, and general produce. Established in 1878, Gafta provides a range of services to its members, which include traders, brokers, superintendents, analysts, arbitrators, and other professionals involved in the global agricultural trade. Gafta is an international trade association with over 1900 members in 98 countries. We aim to promote international trade in agricultural commodities, spices, and general produce and protect our members’ interests worldwide.

About the role

As a Training and Events Assistant at the Grain and Feed Trade Association (Gafta), you will play a crucial role in supporting the planning and execution of a diverse range of international training programs and events. Working closely with the Head of Training and Events, your responsibilities will encompass logistical coordination, administrative support, and active participation in event delivery.

Responsibilities

Event Coordination:

  • Assist in organizing various events, including training courses, committee meetings, networking events, and the Annual Dinner. Tasks involve venue selection, contract negotiations, menu planning, audiovisual arrangements, and liaising with sponsors and exhibitors. 

Administrative Support:

  • Manage event-related communications, handle registrations, coordinate travel and accommodation for participants and staff, and prepare necessary materials and documentation.

On-Site Assistance:

  • Provide hands-on support during events, ensuring smooth operations and addressing any issues that arise promptly.

Budget Management:

  • Assist in creating and monitoring event budgets, ensuring cost-effective solutions without compromising quality.

Marketing Collaboration:

  • Work with the marketing team to promote events across various platforms, ensuring maximum visibility and engagement.

Skills, Competencies & Experience

  • Minimum of 4 years experience in event management or a related field.
  • Proven ability to manage multiple events simultaneously, with strong organizational and time-management skills.
  • Experience with virtual event platforms, such as Zoom, for delivering online events.
  • Excellent interpersonal skills, with the ability to communicate effectively with diverse stakeholders.
  • High proficiency in IT, including familiarity with event management software and Microsoft Office Suite.
  • Flexibility to travel internationally and work occasional evenings or weekends as required.
  • Experience working within the events and training sector
  • High levels of IT literacy – over 50% of this role involves administration on Agribility – Gafta’s online learning platform
  • Strong organizational skills and attention to detail, with the ability to manage multiple priorities
  • Excellent communication and interpersonal skills, with a customer-focused approach
  • Willingness to travel including some evening/weekend work

Desirable:

  • Experience working with Learning Management Systems is highly desirable
  • Experience working in a membership organization is highly desirable
  • Prior experience supporting digital learning or instructional design projects
  • Knowledge of e-learning standards such as SCORM and experience with content creation tools
  • Understanding of agricultural commodity trading
