European Vocational Training Association (EVTA) is a network of organizations dedicated to strengthening vocational education and training (VET) across Europe. Since its establishment in 1998, EVTA has played a key role in VET and human capital development, actively engaging in EU institutional activities. Our Brussels-based team supports members across Europe by leading EU-funded initiatives, facilitating partnerships, and driving policy dialogue on education and training.
About the role
This role is pivotal in ensuring the efficiency and impact of EVTA's initiatives across Europe. This role offers a unique opportunity to contribute to the advancement of vocational education and training across Europe, working within a dynamic and supportive team environment.
Responsibilities
Administrative and HR Support:
- Assist with payroll management and HR-related administrative tasks.
- Oversee office management, including monitoring supplies and inventory.
- Provide administrative support for invoicing, filing, and expense tracking.
- Verify and process expense reports (e.g., travel-related reimbursements).
- Monitor payments made by credit cards, ensuring proper documentation of invoices and receipts.
- Handle document filing and correspondence with members and external partners.
- Ensure compliance with Belgian administrative regulations and internal policies.
Project and Financial Administration:
- Support bookkeeping, invoice preparation, and financial tracking.
- Assist in preparing financial reports and budget monitoring.
- Provide support in EU project and grant management, ensuring compliance with funding requirements.
- Maintain accurate records of transactions and project-related documentation.
- Assist in compiling financial data for audit and reporting purposes.
Event and Logistics Support:
- Assist in the planning and logistics of events, meetings, and travel arrangements.
- Support procurement processes, including supplier coordination.
- Ensure the smooth execution of project logistics and operational tasks.
- Provide on-site and remote support during EU project meetings, workshops, and conferences.
Skills, Competencies & Experience
- Minimum 1 to 3 years of experience in a similar role.
- Strong knowledge of Belgian administrative procedures (a plus).
- Proficiency in French with a very good command of English.
- Advanced skills in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and CRM systems.
- Familiarity with financial administration, including invoicing, expense reporting, and budget tracking.
- Understanding of EU project and grant management processes.
- Strong organizational skills, proactivity, and the ability to manage tasks independently.
- Attention to detail, accuracy, and a structured approach to work.
Required Qualifications
- Bachelor’s Degree in Administrative Management and relevant Experience in Administrative Support.
