About the Organisation

European Heat Pump Association is the voice of the heat pump sector in Brussels. We shape policy, advocate and communicate, organize events, support members as they navigate regulatory changes, and seek to deliver a thriving heat pump market for our members. The association provides strategic leadership to the sector and expert input to EU policy on behalf of its 230+ members, is involved in multiple projects, coordinates the Heat Pump certification scheme, and organizes events and communications campaigns across Europe. 

About the role

Operations Director, you will be primarily responsible for the operations team and supporting them to develop, streamline, and execute the administration, finance, HR, and IT services of the organization. The role will also include acting as the secretary to the board of directors. The association’s critical role in delivering a secure, competitive, and sustainable European energy system needs an Operations Director to ensure the organization can function to as high a performance as possible.

Responsibilities

Strategic Leadership:

  • Development of a strategic plan for the operations function of the association.
  • Leading and developing the operations team, ensuring those team members fulfill their potential.
  • Providing guidance, support, and input to the secretary general and other functions of the association.

Administration:

  • Operating as the secretary to the board of directors ensuing Board meetings, decisions, and required administration is completed.
  • Oversee the administration of the organization's legal reporting requirements.
  • Developing and executing efficiency, accuracy, cost, and security improvements to the administration of the organization.
  • Ensure compliance with the Belgian legal framework: publication of statutes, UBO, taxation, etc

Finance:

  • Support the Director General in the creation and management of the budget.
  • Overseeing the accounting of the association, broadly executed by the accounting officer and (collaboration with a certified accounting company)
  • Liaising between the accountant, the treasurer, and the auditor 
  • Prepare the financial report of the EU projects and create tools accordingly
  • Manage cash flow control and anticipate payments

Information Technology:

  • Development of the strategy and execution of the IT infrastructure of the association, handled mainly by 3rd party service providers.
  • Coordinate the development of the extranet and databases in the CRM software through third parties (Designers, Developers)
  • Oversee the Office 365 platform 
  • Manage hardware and software inventory

Memberships:

  • Organize the General Assembly
  • Collaboration with the wider team, ensure the integration of new members joining the association and the continuous improvement of the user experience

Skills, Competencies & Experience

  • 7 years of relevant experience in an Operations role, with at least 3 in a senior operations role.
  • Demonstrated knowledge of strategic leadership, financial management, human resources management, and IT. 
  • Ability to manage service providers for the organization. 
  • Excellent interpersonal and organizational skills. 
  • Full working proficiency in English and either French or Dutch.
  • High degree of proficiency in the Microsoft Office suite of tools.
  • Experience with and understanding of membership-based organizations.
  • Interest in renewable energy issues 
  • Good knowledge of the Belgian legal framework for AISBL
  • Experience in European project reporting 
  • Affinity with IT-based processes
  • Experience with ExactOnline, Billit, HubSpot, Office365, and Eventbrite is a plus.

Required Qualifications

  • Undergraduate Degree in Business and Financial, Human Resource Management Related Educational Fields.
