About the role
As Operations Assistant, Strategic Communications your role will be to support the Strategic Communications Team with a range of operational tasks. Operations Assistant role at ECF likely involves supporting the foundation's day-to-day operational activities, ensuring smooth workflow across departments. Responsibilities could include managing administrative tasks, scheduling, coordinating events or meetings, maintaining records, and supporting financial or logistical processes. The position is crucial for the effective functioning of the organization and contributing to its mission of addressing climate challenges.
Responsibilities
Management Support:
- Organise calls and meetings for the CECC Directors, grantees, partner organisations, funders, and other stakeholders;
- Provide administrative support to the CECC Directors when needed
- Support the ECF CECC Directors in monitoring the department’s budget
- Coordinating different internal communications
- Coordinating new joiners' induction meetings and helping with other new joiners' tasks;
Meetings & Event Management Support:
- Supporting with the design and organization of events and offline and online team meetings/retreats including note taking, logistics, internal and external communication, venue booking, travel arrangement and expense reimbursement, etc.
Team Support and Coordination:
- Responsible for information management for the team: ensuring team members keep up-to-date centralized notes and files; record team meetings; platforms for internal information sharing
- Supporting the team with the development and update of tools and processes to enable effective collaboration
- Supporting procurement processes including reviewing and analyzing products and services, communications with external suppliers, and maintaining updated records of contracts;
- Supporting with contracting and liaising with internal operations teams
- Supporting other ad hoc administrative, logistics, outreach, and research tasks.
Skills, Competencies &Experience
- Genuine interest in the mission and values of the organization;
- Strong interest in climate, the environment, and strategic communications;
- 1 year of work experience in a similar administrative/operational position;
- Excellent communications skills, including fluent spoken and written English;
- Familiarity with meeting coordination and stakeholder management;
- Excellent attention to detail, diligence, and reliability;
- Proficiency with office software such as Microsoft Outlook, Excel, and PowerPoint as well as other online collaboration tools;
- Excellent skills in planning and using initiative
- Flexibility and capacity to prioritize and manage own workload
