The International Fruit and Vegetable Juice Association (IFU) is the global representative of the juice industry, providing leadership in regulatory, technical, and industry-wide initiatives. Our membership includes key stakeholders from across the juice sector, including producers, suppliers, and research institutions.
About the Role
The IFU is seeking a highly organized and proactive Membership & Administration Coordinator to support our global network and assist the Executive Director in administrative, membership, and event-related tasks. This is a 100% remote role, operating under a service/consultancy contract.
Key Responsibilities
Administrative & Executive Support:
- Assist the Executive Director and IFU leadership in managing administrative, governance, and operational tasks.
- Support the coordination of Board meetings, committees, and governance activities while ensuring smooth daily operations.
- Handle general inquiries, maintain records, and facilitate effective communication with members and external stakeholders.
Membership & Stakeholder Engagement:
- Oversee all aspects of membership administration, including registrations, renewals, invoicing, and resignations.
- Provide proactive support to members, ensuring engagement through clear communication via email, the website, and other platforms.
- Maintain accurate records and foster positive relationships to strengthen membership retention and participation.
Event & Project Coordination:
- Support the planning, organization, and execution of IFU events, conferences, and initiatives.
- Assist with logistics, registrations, sponsor relations, and other event-related activities to ensure successful outcomes.
Finance & Compliance:
- Manage financial processes related to membership and sponsorship invoicing, payment tracking, and coordination with financial institutions.
- Maintain accurate financial records, liaise with the accountant, and ensure compliance with IFU’s financial procedures and reporting obligations.
Digital & Communication Management:
- Maintain and update IFU’s website, ensuring relevant content such as membership lists, event information, and official documents are kept up to date.
- Oversee the digitalization of reports and publications for online access and support external communications, ensuring timely dissemination of key updates.
General Operations & Organizational Support:
- Ensure compliance with governance requirements, including updating statutes, maintaining records, and supporting regulatory submissions.
- Take minutes at key meetings and assist with reporting obligations.
- Provide cross-functional support to the IFU team on ad-hoc projects, operational needs, and emerging priorities.
Skills, Competencies & Experience
Required:
- Fluency in English is mandatory (both written and spoken).
- Minimum of 5 years of experience in administration, membership management, or event coordination.
- Strong proficiency in Microsoft Office (Word, Excel, PowerPoint), website CMS, and database management tools.
- Ability to work independently and manage multiple tasks in a remote setting.
- Availability to travel internationally when required
