About the role
Cycling Industries Europe (CIE) has an exciting opportunity for a Membership Administrator to play a key role in supporting our growing organization and ensuring the smooth functioning of our membership operations, expert group meetings, and financial processes. The ideal candidate will excel in membership management, invoicing, financial support, and organizational tasks, contributing to the success of CIE’s internal operations and external member engagement.
Responsibilities
Membership Management:
- Process membership applications and onboarding;
- Coordinate membership upgrades, membership invoicing, withdrawals, and fee payment follow-ups;
- Maintain accurate records of membership statuses and manage processes like resignations and terminations;
- Assist outreach and engagement with potential member companies;
- Supported the management of day-to-day member relations (responding to queries, updating contact lists, and managing contact form correspondence).
Meeting Coordination:
- Organize and support internal member meetings, including scheduling and communication with participants. Including expert groups; working groups; annual meetings; etc.
- Share updates and relevant information during operational and management meetings.
Administrative Support:
- Assist with financial processes, including invoicing, follow-up payments, and reporting;
- Compile quarterly reports and other documents to support the organization’s leadership;
- Maintain membership databases, intranet pages, and website content related to membership.
Communications and Events:
- Assist with communications, webinars, and events related to membership activities;
- Ensure marketing materials are up to date and aligned with organizational priorities.
Skills, Competencies & Experience
- Proven experience in administrative roles, preferably within European associations or membership organizations;
- Strong organizational and time management skills with attention to detail;
- Excellent written and spoken English (additional languages are a plus);
- Proficiency in Microsoft Office (especially Word, Excel, and Outlook), and tools like Zoom and Canva. CMS experience (Typo3) would be an advantage;
- Effective communication and interpersonal skills;
- Proactive attitude and willingness to learn about the cycling industry and membership-based organizations.
