About the role
Executive Officer plays a crucial role in supporting senior management and ensuring the smooth functioning of an organization. This position involves strategic planning, administrative oversight, stakeholder management, and operational coordination. The Executive Officer acts as a key point of contact between executives, staff, and external partners, ensuring efficiency in decision-making and execution.
Responsibilities
Executive Support & Administration:
- Provide high-level support to senior executives, including scheduling meetings, preparing reports, and managing correspondence.
- Draft and review internal and external communications, ensuring professionalism and accuracy.
- Maintained confidential records, contracts, and organizational documents.
Strategic & Operational Management:
- Assist in developing and implementing business strategies to achieve organizational goals.
- Coordinate and monitor key projects, ensuring alignment with strategic objectives.
- Support policy development and oversee compliance with regulations and company policies.
Stakeholder Engagement & Communication:
- Act as a liaison between senior management and internal/external stakeholders.
- Represent the organization in meetings, conferences, and networking events.
- Facilitate effective communication between different departments and leadership.
Financial & Resource Management:
- Assist in budget planning, financial reporting, and resource allocation.
- Monitor expenditures and ensure cost-effective use of resources.
- Support funding applications and grant management processes where applicable.
Governance & Compliance:
- Ensure that the organization adheres to legal, regulatory, and governance requirements.
- Prepare reports and documentation for board meetings and executive briefings.
- Manage risk assessment and mitigation strategies.
Skills, Competencies, & Experience
- Experience in a not-for-profit organisation and an academic setting;
- Project management experience in a multi-cultural environment;
- Excellent communication and relational skills;
- Fluency in written and oral English (another language a plus);
- IT Mindset: strong skills in using IT, including social media and digital tools;
- Team player, quick learner & distinct communicator;
- Diplomatic skills in a multi-cultural environment;
- Basic knowledge in accounting and finance principles;
- Ability to work autonomously in a project-based style;
Required Qualifications
- Bachelor’s Degree or Equivalent
