About the role
Events Manager will elevate the visibility and impact of Applied Microbiology International and AMI Journals through the strategic planning and execution of diverse events tailored to meet the needs of various stakeholders and audiences. Tasked with ensuring a seamless, professional, and engaging experience for all delegates, the Events Manager will effectively coordinate across departments, collaborate with external partners, and consult with AMI global ambassadors.
The role is critical in providing comprehensive event support and enhancing participant engagement, aligning each event with AMI's overarching strategic objectives. Collaborate closely with various internal and external stakeholders, including the Chief Executive, to develop a comprehensive brief with clear KPIs for all events. Project manage the delivery of events, working across teams to ensure each event meets the agreed brief. Coordinate the scientific and social aspects of each event according to the agreed brief, ensuring timely delivery of information necessary for decision-making and advising on logistics.
Responsibilities
Partnership and Sponsorship Management:
- Work with the Sponsorship and Sales Manager to create and deliver sponsorship and exhibition opportunities across the events program.
- Collaborate with the Director of Publishing to integrate events with the AMI Journals Strategy, enhancing industry engagement.
Operational Execution and Oversight:
- Commission, negotiate, and manage contracts with event suppliers, including venues, catering, and AV providers, ensuring terms are thoroughly vetted and agreed upon.
- First point of contact at all events, ensuring high levels of delegate satisfaction.
- Coordinate all aspects of event management including web presence, CRM requirements, registration, speaker liaison, and adherence to health and safety regulations.
- Organise speakers, handling all communications including invitations, relevant joining information, and thank you emails.
- Complete a risk register for each event to identify and mitigate potential risks, ensuring all necessary risk assessments are undertaken and health and safety requirements are adhered to.
- Work with the Head of Marketing and Sales to produce comprehensive marketing and communication plans that attract delegates and effectively promote events.
- Carry out market research for venue location, site visits, and audience strategy, and explore additional publicity opportunities, including publications in journals and magazines.
- Coordinate exhibitor registrations and liaise regarding exhibition setup, takedown timings, and logistics.
- Organize dinners and liaise with venues regarding catering requirements and special needs.
- Managed booking of exhibition space and travel arrangements for overseas and local exhibitions, working closely with the Director of Publishing and the Head of Marketing and Sales. Salisbury House, Station Road,
- Manage and coordinate logistical arrangements for both local and international meetings, including travel, accommodation, and the shipment of goods.
- Liaise with session chairpersons and communicate instructions and updates regarding their sessions.
Evaluation and Reporting:
- Develop feedback surveys for on-the-day and post-event analysis to ensure continuous development and improvement.
- Prepare post-event evaluation reports and ensure all communications plans include post-event activities.
Budget and Financial Oversight:
- Collaborate with the Chief Operating Officer to manage expenditures within the events budget.
- Arrange continuing professional development (CPD) for events as necessary
Record Keeping and Compliance:
- Maintain clear records and an audit trail for all events.
- Ensure that all events comply with relevant health and safety requirements
Skills, Experience & Competencies
- Experience in event management within a similar role, preferably for a scientific or professional association.
- Strong leadership skills with experience in team management and stakeholder engagement.
- Excellent organizational, negotiation, and problem-solving skills.
- Ability to work flexibly and travel as needed to manage and attend events
- Willingness to work extended hours as needed to meet event demands, with flexibility compensated through time off in lieu.
- Awareness of current trends in event management
