About the role

You will provide administrative and logistical support to our association management teams to deliver high-quality services and value to our clients. In coordinating and communicating with our volunteer groups and committees, you will also support our associations’ mission and activities.

Responsibilities

  • Schedule meetings, and prepare agendas, reports, and presentations for board, committee, and working party meetings. Coordinate with all attendees.
  • Facilitate meetings, capturing action items and decisions. Manage post-meeting activities such as distributing minutes, tracking all action item,s and following up on outstanding items.
  • Provide administrative support, including scheduling, travel arrangements, and expense management.
  • Support with managing administration for corporate partnership deals and sponsorship agreements.
  • Track and manage the administration of grants and awards.
  • Maintain governance documents, policies, and other relevant materials in a centralized repository.
  • Assist with the planning and execution of association events, programs, and projects.
  • Liaise with volunteer groups and committees and provide them with guidance, resources, and feedback.
  • Handle inquiries from members, partners, and the public and direct them to the appropriate person or department.
  • Organize and maintain files, records, and databases.

Skills, Competencies & Experience

  • At least three years experience in an administrative or support role, preferably in a non-profit or association setting.
  • Fluent in English (verbal and written level C1), Knowledge of another language is an asset.
  • Proficient in the Microsoft Office package, Google Suite, and other web-based tools.
  • Ability to work independently and collaboratively with a diverse team.
  • Strong organizational, time management, and problem-solving skills, with the ability to prioritize and multitask.
  • Flexible, agile, and committed especially in busy periods.
  • Knowledge of and interest in the association's field and mission.
  • Willingness to travel abroad for certain meetings and events.
  • Available to join the team rapidly.
