About the Organisation

S&D Group (Progressive Alliance of Socialists and Democrats) is a political group in the European Parliament that represents social democratic and progressive values. It is the second-largest political group in the Parliament and is affiliated with the Party of European Socialists (PES). The S&D Group advocates for policies that promote social justice, equality, democracy, sustainability, and workers' rights across Europe. The S&D Group has been influential in shaping EU policies on workers’ rights, climate action, social inclusion, and economic justice. It collaborates with other progressive forces to counterbalance conservative and far-right policies.

About the role

This role plays a crucial part in ensuring the smooth operation of administrative tasks and office management. The ideal candidate will have strong multitasking skills, excellent communication abilities, and a proactive approach to problem-solving.

Responsibilities

  • Provide general administrative support to the team, including handling correspondence, scheduling meetings, and managing calendars.
  • Maintain accurate records, databases, and filing systems, ensuring all documentation is up to date and accessible.
  • Assist in preparing reports, presentations, and other business documents.
  • Coordinate office supplies, procurement, and equipment maintenance.
  • Handle incoming and outgoing mail, emails, and phone calls, ensuring timely responses.
  • Support HR and finance functions, such as processing invoices, expense reports, and employee records.
  • Assist in organizing events, workshops, and meetings, including venue booking and logistics.
  • Maintain compliance with company policies and procedures, ensuring adherence to relevant regulations.
  • Work closely with internal teams and external stakeholders to facilitate smooth business operations.
  • Perform other administrative duties as assigned.

Skills, Competencies & Experience

Skills & Experience:

  • At least 2 years of experience in an administrative or office management role.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and other administrative tools.
  • Strong attention to detail and ability to manage multiple tasks efficiently.
  • Excellent verbal and written communication skills.
  • Ability to work independently and resolve issues proactively.
  • High level of integrity and discretion in handling sensitive information.

Desirable:

  • Experience with CRM software or document management systems.
  • Familiarity with financial administration, invoicing, or basic accounting.
  • Previous experience in a similar role within a corporate, non-profit, or government organization.

Required Qualifications

  • Bachelor's Degree in Business Administration, Management, in a related field
